ORGANIZATIONAL CONTEXT

The United Nations Industrial Development Organization (UNIDO) office in Addis Ababa hereby seeks application from qualified and experienced candidates for the following position:

Duties and Responsibilities
The Administrative and Finance Assistant is responsible for providing a range of administrative secretarial and clerical support services to UNIDO’s Commercial Vehicle Driver Training Academy Project coordination office in Addis Ababa, Ethiopia. He/She reports directly to the Project Manager/National Project Coordinator with overall guidance from the UNIDO Regional Office in Addis Ababa and UNIDO HQ in Vienna. 
 
The Administrative and Finance Assistant shall perform the following duties
  • The Administrative and Finance Assistant is responsible for maintaining day to day administrative services
  • Perform secretarial functions assisting the National Project Coordinator (NPC) and other Project support staff.
  • Receive visitors, place and screen telephone calls, respond to routine request for information and assist in making travel arrangements for NPC and project staff.
  • Maintain office supplies and deliver to responsible staff upon request and assist in making procurements.
  • Assist the logistic assistant and NPC in the timely custom clearance of procured goods and services
  • Provide secretarial and logistics support at meetings, prepare requests for travel authorizations, ensure that travel arrangements are implemented on time and travel documents are in order and complete and ensure proper record-keeping of supporting documents for expense reports (invoices, boarding passes, receipts, roster of payment, etc.)
  • Monitor and keep accounting records procurements, travels, events, operating advance, straight expenditures, petty cash and minor bank transfer disbursements, and other project-related activities
  • Provides support for trainings, study tours, project steering committee meetings and other project-related events
  • Monitor pending payments due to suppliers and vendors and settle unliquidated obligations in coordination with HQ
  • Coordinate with the Imprest office and HQ on fund disbursements
  • Assist the UNIDO Regional Office in the areas of secretarial and finance services
  • Assist Project follow-ups as requested by the National Project Coordinator, NPC and perform any other ad-hoc duties as required by the NPC
  • Maintain proper records of staff leave, monthly timesheet, travel, consultants and other stakeholders;
  • Maintain record of donors, partners, stakeholders and others to ease for correspondence

Job Requirements:

MINIMUM ORGANIZATIONAL REQUIREMENTS
Education
  • Intermediate level in Business Administration, Accounting or relevant field. 
Technical and Functional Experience:
  • Knowledge of the UN system
  • Minimum of 4 years of experience of similar duties, UN experience is an asset
  • Experience working in an international  environment is also an asset
  • Effective communication skill in English
  • Ability to work in the field under pressure and meet strict deadlines
  • Good knowledge of computer applications such as word, excel, and power point 
Languages
  • Fluency in written and spoken English is required. Knowledge of local languages is an asset.
